Reducing lead times from weeks to days

An IT leasing company in the Nordics improved customer satisfaction, reduced lead times for products and services, and lowered the costs of the end-to-end process by redefining the process using digital signing and customer journeys. Here is how it happened.

Despite having a top position in the markets, the company was looking to find ways to increase efficiency, reduce service lead times, and improve customer satisfaction.

The current process took 6-8 weeks to deliver to customers. Significant part of that was generated by sending documents to be signed back and forth, in some cases across country borders. Delivering the hardware to the customers took only one week, so the problem was the process.

 

They organized a workshop together with customers to redesign the process both internally and between customers by identifying the bottlenecks to deep dive in. The agreement process was identified as having highest impact.

A new process was designed in a way that customers could enter the company website  to request a quote for leasing, upload necessary documents related to the case, and sign an application digitally using strong authentication and local eIDs. In addition, the company introduced an option for customers to receive all documents digitally in a secure mailbox on company website and digitally sign anything sent by the company.

The paper-based process ran through the key account managers, but the digital process allows them to focus 100% on customers and enables centralized back office to engage directly with customers, and automate 60% of the processes. Lead times were reduced from 6-8 weeks to 2-3 days.
